How to Set Up Your School on Scholyticss in Under 30 Minutes

You have just registered your school on Scholyticss. The dashboard is in front of you. Now what?

This guide walks you through everything you need to do to get your school fully set up. Follow these steps in order and you will be ready before your next cup of tea goes cold.

Step One: Create Your Classes

Next, go to Class Management and create your classrooms. KG 1, JHS 2, Basic 2 etc or Whatever naming your school uses.

For each class, select the department it belongs to. This connects your classes to the right subjects automatically. A class under the Junior High department will pull from JHS subjects. Simple

Step Two: Add Your Teachers

Head to the TeacherManagement menu from your dashboard and start adding your staff. For each teacher, their emails and password shall be used for the log in. They will receive a verification to confirm their account.

Assign teachers as class teachers or subject teachers. The system is flexible enough to match how your school actually works.

Do not worry about getting everything perfect on day one. You can add more teachers and adjust assignments anytime.

Step Three: Enroll Your Students

Now the big one. Getting your students into the system.

You have two options. You can add students one by one, entering their name, date of birth, gender, and admission number. This is fine for small schools or when adding a few new students.

For larger enrollments, use the bulk upload feature. Download the template, fill in your student data, and upload the file. The system processes everything in seconds. Each student is automatically assigned to their class for the academic year.

One important detail. Make sure you enter parent or guardian phone numbers. This is what powers the SMS notifications later. When a student is absent, the parent gets an alert. When results are ready, the parent sees the full report on their phone. It all starts with that phone number in the system.

Step Four: Configure Your Term

Head to Term Configuration. This is where you set the academic calendar that drives everything else.

Set the start and end dates for the current term. Mark school holidays so attendance tracking skips those days. Add important events like examination weeks and open days. The system uses these dates to calculate attendance rates accurately and to know when your term officially ends.

There is a handy feature to import Ghana national public holidays with one click. No need to enter each holiday manually.

Step Five: Mark Your First Attendance

Your school is set up. Teachers are added. Students are enrolled. The term is configured. Now it is time to actually use the system.

Go to Mark Attendance. Select a class, choose today's date, and start marking students as present or absent. You can mark individual students or use the bulk option to mark everyone present and then unmark the few who are absent. It takes less than a minute for an entire class.

That first attendance record does more than you might think. It activates the analytics dashboard. It starts building your attendance history. And if a student is marked absent, their parent gets an SMS alert right away.

Once attendance is running, the next milestones are uploading results at the end of term and generating report cards. But those are topics for another guide. For now, your school is set up, staffed, and operational.
